Privacy Policy

First Ping is operated by [TODO: LLC legal name] (“First Ping,” “we,” “us”), 4607 Library Road, Suite 220, Bethel Park, PA 15102. We provide automated lead follow-up tools for residential roofing companies (“Clients”). This Policy explains how we collect, use, and share information.

1. Roles

• Website visitors / prospective Clients: We are the business collecting your information when you request an audit, contact us, or buy a pilot.
• Homeowners who contact a Client: The Client is generally the controller of that inquiry. We act as a service provider / processor to reply, qualify, and schedule on the Client’s behalf under their instructions.

2. Information we collect

From Clients and prospects: business name, contact name, email, phone, website, service area, scheduling rules, billing details (card data handled by our payment processor; we do not store full card numbers), and A2P registration details (legal name, EIN, business address) when required by carriers.

From homeowners (via Client channels): name, phone, email, address/ZIP, roofing-need details, appointment preferences, and message content needed to respond and book.

Automatically on our website: standard server/security logs (IP address, browser type, pages requested, timestamps). We do not currently set analytics or advertising cookies, and we do not use third-party advertising or analytics pixels on this site. If that changes, we will update this Policy before enabling them.

3. How we use information

• Provide, secure, and improve the service (replies, qualification, booking, reminders, Client summaries).
• Process payments and prevent fraud.
• Send service and account messages; with appropriate consent, limited marketing to businesses about First Ping.
• Comply with law, enforce terms, and protect rights and safety.
• Register messaging campaigns with carriers (A2P 10DLC) using Client business details.

We do not sell leads. Homeowner inquiries belonging to a Client are not shared with other roofers or lead marketplaces.

4. Email, text messages, and calls

At launch we operate email-first (web-form and email replies). SMS and missed-call text-back are available after carrier approval and are not live until then.

When SMS is enabled, texts to homeowners are sent on behalf of the Client the homeowner contacted. Message frequency varies. Message and data rates may apply.

SMS opt out (when SMS is live): Reply STOP to cancel. Reply HELP for help. We and/or the Client will honor opt-outs we receive for that program.

We do not share mobile numbers or opt-in data with third parties for their own marketing.

Recording: We do not record voice calls as part of the standard product. Pennsylvania generally requires all-party consent to record calls. If a future feature records calls, we will obtain required consents and disclose recording before it begins.

5. AI / automated processing

We use automated systems (including language models under vendor agreements) to draft and send replies and to help schedule. Outputs can be wrong. The Client remains responsible for the services they provide to homeowners. See also our Terms and Client Service Agreement.

6. Service providers

We use vendors for hosting, messaging, email, calendars, payments, and AI inference, only as needed to operate First Ping. A current subprocessor list is available on request at hello@tryfirstping.com [TODO: publish list when vendors finalized].

7. Retention and security

We retain information as long as needed to provide the service, resolve disputes, and meet legal requirements, then delete or de-identify it when practicable. We use reasonable administrative, technical, and physical safeguards. No method of transmission or storage is 100% secure.

8. Your choices

Email hello@tryfirstping.com to access, correct, or delete personal information we hold, or to object to certain processing. Homeowners may also contact the Client they inquired with. We may need to verify the request. Some records must be kept for legal or security reasons.

9. Children

The service and site are not directed to children under 13. We do not knowingly collect personal information from children under 13.

10. U.S. state privacy rights

If a state privacy law (for example, rights to know, delete, or opt out of certain sharing) applies to you, email hello@tryfirstping.com. We will not discriminate against you for exercising available rights. We do not “sell” personal information as that term is commonly defined in state privacy laws, and we do not use homeowner leads for cross-context behavioral advertising.

11. Changes

We may update this Policy. The effective date above will change. Material changes will be posted on this page or noticed to Clients as appropriate.
